We have developed our own Performance Management and Quality Assurance System that enables us to perform these important roles quickly and easily. This system has been used by us for over 2 years and during this time it has been developed and improved as we seek to continually improve our own performance and quality service levels.

Using this system, you can:

  • Establish and monitor the average times taken to process different types of work;
  • Compare processing times between different users and/or teams;
  • Establish and compare processing times between different types of claims and tasks;
  • Analyse individual performance levels to identify specific training needs;
  • Monitor the volume of cases/claims/accounts that are set to ‘pending’, as a decision cannot be made.

    Traditionally this requires you to run numerous reports from both your Revenues/Benefits System and Document Management System and then manually consolidate the results into a single report. This can be a very tedious exercise, especially when you could be making far better use of your time. Our Performance Management System will produce this information for you automatically, allowing you to spend time analysing the results rather than wasting time compiling them.

    At RB Solutions we place a huge emphasis on quality of work. We use the information provided by our Performance Management System to produce QA check lists for all staff. The system allows each check to be recorded in detail and any incorrect cases/accounts, along with notes on the remedial action required, are returned direct to staff in a single click. We can also assign individual checking parameters for each user in accordance with their specific experience levels/training needs, thereby maximising effectiveness of our QA Team through targeted checking.

    Reports are then produced as required which enable you to:

  • Analyse individual performance levels to identify specific training needs;
  • Record in detail whether errors are financial, non-financial or procedural, pinpointing at which stage of assessment the error occurred;
  • Analyse cases/claims ‘pended’ to ensure the correct action has been taken;
  • Analyse performance over varying periods to ensure improvements are being made where required;
  • Report accurately on quality performance levels.
  • All of the above examples are uses that we have made of the system for our own internal requirements. The system is fully flexible and will allow much wider use of the information recorded as each authority may require. This solution does not require you to purchase any new software or hardware.

    There are no run time license costs and it can be run on either Windows or Unix platforms. It can be run locally within your authority or we can run it for you as a hosted service.
